These Terms & Conditions apply to all patients, visitors, contractors, accompanying persons and any person entering or using the premises, services, website, booking systems, communication channels or facilities of CUC Medical & Aesthetics / CUC Medical Group / CUC Medical Limited, referred to below as “CUC”, “we”, “our” or “the clinic”.
By booking an appointment, attending the premises, using our services, communicating with the clinic, or accompanying a patient, you confirm that you have read, understood and accepted these Terms & Conditions.
1. Scope of Services
CUC provides private medical, urgent care, minor surgery, aesthetic, dermatology-related, occupational health, blood testing, referral, administrative and related healthcare services.
All services are subject to clinical suitability, clinician availability, appropriate consent, payment of applicable fees, and the professional judgement of the treating clinician.
CUC is not an emergency department. If you have a medical emergency, chest pain, stroke symptoms, severe breathing difficulty, collapse, severe allergic reaction, severe bleeding, acute mental health crisis, or any immediately life-threatening condition, you must contact emergency services by calling 112 or 999 or attend the nearest emergency department.
2. Appointments, Booking and Attendance
Appointments should be booked in advance through the clinic, telephone, online booking system or other approved communication channels.
Patients are responsible for providing accurate personal details, medical history, medication list, allergy status, contact details and relevant background information. Failure to provide accurate information may affect clinical assessment, treatment suitability, documentation and follow-up.
Please arrive on time. Late arrival may result in a shortened consultation, rescheduling, loss of appointment slot, or additional fees where applicable.
CUC reserves the right to refuse, defer, reschedule or discontinue care where it is clinically inappropriate, unsafe, outside the clinic’s scope, affected by lack of capacity, affected by non-payment, or where patient or visitor behaviour creates risk to staff, patients, visitors, animals or the premises.
3. Fees, Deposits, Payments and Receipts
Fees are payable at the time of booking or at the time of service unless otherwise agreed in writing.
Some appointments, treatments, procedures or packages may require a deposit or full pre-payment.
Quoted prices are estimates based on the information available before assessment. The final treatment plan and cost may change following clinical assessment, patient consent, treatment complexity, products used, investigations required or procedure performed.
CUC issues itemised receipts using the details provided at booking or attendance. Patients are responsible for retaining their receipts. Duplicate receipts may be provided where reasonably possible, but CUC does not guarantee retrospective consolidated or year-end cumulative receipts.
CUC may charge reasonable administrative fees for repeated, excessive or complex documentation requests.
4. Cancellations, Late Cancellations and Non-Attendance
Patients should give at least 24 hours’ notice to cancel or reschedule an appointment.
Late cancellation, non-attendance or repeated missed appointments may result in loss of deposit, a non-attendance charge, or a requirement for full pre-payment before future bookings.
Repeated non-attendance may result in CUC declining to offer further routine appointments unless pre-approved by the clinic.
5. Clinical Assessment, Suitability and Consent
All treatments, prescriptions, procedures and clinical documentation are subject to professional clinical assessment.
CUC clinicians may refuse or defer treatment where the risks outweigh the benefits, the treatment is not clinically indicated, the patient is medically unsuitable, the patient lacks capacity without appropriate support, there is inadequate information, or the requested service is outside the clinic’s scope.
Consent must be obtained before treatment. For procedures, this may include verbal consent, written consent, procedure-specific consent forms, photography consent, histopathology consent, aftercare advice and documentation of risks, benefits and alternatives.
For minors or patients lacking capacity, consent must be provided in accordance with applicable Irish law, professional guidance, parental/guardian authority and best interests.
6. Clinical Outcomes, Limitations and Reviews
CUC provides care with reasonable skill, diligence and professional judgement. However, no clinical, cosmetic, surgical, aesthetic, diagnostic or therapeutic outcome can be guaranteed.
Results vary between patients and may depend on age, anatomy, medical conditions, medications, aftercare compliance, wound healing, lifestyle, infection risk, genetics, sun exposure and other factors outside CUC’s control.
Where care has been delivered appropriately, fees are not refundable solely because a patient does not achieve a desired or expected outcome.
Follow-up reviews may be recommended at the clinician’s discretion. A review does not guarantee further treatment, refund, revision, prescription, referral or additional intervention.
7. Minor Surgery, Biopsy, Specimens and Histopathology
Minor surgery, lesion removal, biopsy, drainage, cautery or similar procedures are performed only after appropriate assessment and consent.
Where tissue is removed, the clinician will consider whether histopathology is clinically indicated. Histopathology may be recommended, required or optional depending on the lesion, clinical history, appearance, patient preference, risk profile and clinician judgement.
Where histopathology is arranged, additional laboratory, handling, courier, reporting and administrative fees may apply. CUC is not responsible for laboratory turnaround times, external laboratory delays, third-party reporting delays or courier delays outside the clinic’s control.
Patients are responsible for attending follow-up and reviewing results where advised. CUC will make reasonable efforts to communicate significant results, but patients must ensure their contact details are correct and must follow up if they have not received expected results within the advised timeframe.
8. Aftercare, Wound Care and Patient Responsibility
Patients must follow all verbal and written aftercare advice provided by CUC.
After procedures, patients should contact the clinic promptly if they experience increasing pain, redness, swelling, bleeding, discharge, fever, wound opening, allergic reaction, unexpected deterioration or any concern regarding wound care.
Patients may contact the clinic by telephone, email, WhatsApp or approved communication channel. Where urgent or severe symptoms occur, patients must contact emergency services or attend urgent/emergency care rather than waiting for a clinic response.
Patients may also book follow-up appointments through the online booking system where available.
Failure to follow aftercare instructions, failure to attend advised review, delay in seeking help, or failure to disclose relevant medical information may adversely affect outcome and may limit CUC’s responsibility for avoidable complications.
9. Prescriptions, Referrals, Blood Tests and Investigations
Prescriptions, referrals, investigations and blood tests are issued only where clinically appropriate.
CUC may decline to prescribe medication where it is unsafe, inappropriate, outside scope, not clinically indicated, requires specialist input, or where monitoring requirements cannot be met.
Laboratory testing and imaging may be performed by third-party providers. CUC is not responsible for external provider delays, reporting errors, laboratory processing delays, courier delays, third-party system outages or reimbursement decisions by insurers.
Patients remain responsible for following up on results, attending their GP/specialist where advised, and seeking urgent care where symptoms worsen.
10. Independent Physiotherapy / Sublet Department Disclaimer
Where physiotherapy, rehabilitation or any other service is provided on CUC premises by an independent practitioner, contractor, tenant, sub-tenant or separate department, that provider operates independently from CUC unless expressly stated otherwise in writing.
The physiotherapy department/provider is clinically independent and is responsible for its own:
clinical assessment;
treatment decisions;
clinical records;
professional indemnity;
consent process;
aftercare advice;
fees and receipts;
regulatory compliance;
patient communication;
complaints handling relating to physiotherapy care.
CUC does not accept clinical responsibility or liability for diagnosis, treatment, advice, omissions, documentation, follow-up, outcomes or professional acts of an independent physiotherapy provider or any other independent provider operating from the premises.
Patients using independent services should direct clinical queries, complaints, records requests and follow-up matters to the relevant independent provider, unless CUC has expressly confirmed in writing that CUC is the provider of that service.
This does not exclude any responsibility CUC may have for common areas of the premises where such responsibility cannot lawfully be excluded.
11. Premises Use, Safety and Visitor Responsibility
All persons attending the clinic must take reasonable care for their own safety and the safety of others.
Patients and visitors must follow staff instructions, signage, parking directions, infection control measures, animal safety instructions, fire safety instructions and any reasonable request made for safety, privacy or clinical reasons.
Please report any hazard, spill, obstruction, injury, near miss or safety concern to staff immediately.
Patients and visitors should not enter staff-only areas, clinical rooms, storage areas, treatment rooms or restricted areas unless invited by CUC staff.
Children must be supervised at all times by a responsible adult. CUC does not accept responsibility for unsupervised children or for injury arising from failure to supervise.
Patients and visitors should take particular care with steps, ramps, wet floors, cables, uneven surfaces, external areas, parking areas, weather-related hazards, animals on site and movement around clinical equipment.
12. Parking, Vehicles and External Areas
Parking may be available on or near the premises, but availability is not guaranteed.
All vehicles are parked at the owner’s risk. CUC accepts no responsibility for loss, theft, damage, clamping, fines, parking disputes, vehicle collision, weather-related damage, or damage caused by third parties, except where liability cannot legally be excluded.
Drivers must park safely, avoid blocking entrances/exits, respect neighbouring properties, allow access for emergency vehicles, and follow any clinic or landlord parking instructions.
Patients and visitors are responsible for ensuring they are fit to drive after treatment. Certain procedures, medications, dizziness, discomfort, sedation, anxiety, visual disturbance or post-procedure symptoms may affect driving. Where advised, patients should arrange transport home.
13. Rescue Dog / Dog-Friendly Clinic Notice
CUC is a dog-friendly clinic and a rescue dog may be present on the premises from time to time.
The rescue dog is not involved in clinical care and will be kept away from treatment areas where appropriate. Reasonable steps will be taken to manage contact between the dog and patients, visitors and clinical areas.
If you have a dog allergy, fear of dogs, phobia, previous trauma, cultural/religious concern, mobility concern, immunocompromised status, assistance dog requirement, or any other concern regarding the presence of a dog, you must inform the clinic before attending so that reasonable arrangements can be considered where possible.
CUC cannot guarantee that the premises will be completely free from dog hair, dander, allergens or prior dog presence.
Patients and visitors must not feed, touch, approach, lift, restrain, tease, startle or interact with the dog unless expressly permitted by staff.
Children must not approach or interact with the dog unless supervised and permitted.
Any incident, allergy concern, bite, scratch, trip, fall or distress relating to the dog must be reported to staff immediately.
Assistance dogs will be accommodated where reasonably possible and in accordance with applicable law, safety and clinical requirements.
14. Infection Prevention and Clinical Hygiene
Patients should not attend the clinic if they have symptoms of contagious illness unless they have informed the clinic in advance and attendance has been agreed.
CUC may ask patients to wear a mask, sanitise hands, reschedule, wait outside, attend remotely or follow additional infection prevention steps where clinically appropriate.
Patients must not attend for elective procedures if they have active infection, fever, uncontrolled medical illness or other relevant contraindications unless reviewed and cleared by the clinician.
15. Patient and Visitor Conduct
CUC has a zero-tolerance policy for abuse, intimidation, harassment, discrimination, threats, aggression, stalking, unwanted recording, property damage, non-payment, fraud or disruptive behaviour.
CUC may refuse treatment, ask a person to leave, cancel future appointments, contact Gardaí/security, or take legal action where behaviour places staff, patients, visitors, animals, property or clinical care at risk.
Patients must not record staff, clinicians, other patients, visitors or clinical interactions without prior consent. Covert recording may breach privacy, confidentiality and clinic policy.
16. Communications Policy
CUC may communicate by telephone, SMS, email, WhatsApp, online booking systems, secure messaging platforms or letter.
Patients are responsible for providing accurate and up-to-date contact details.
Standard email, SMS and WhatsApp may not be fully secure. By communicating through these channels, patients accept the practical limitations of those methods unless they request an alternative secure method.
Clinical emergencies must not be managed by email, WhatsApp or social media. For urgent or emergency symptoms, call 112/999 or attend urgent/emergency care.
17. Telephone Call Recording
Calls may be recorded for clinical documentation, quality assurance, training, dispute resolution, safety and medico-legal purposes, where permitted by law and clinic policy.
Where required, consent will be requested. If consent is declined, the call may continue without recording where feasible.
Recordings are stored securely and accessed only by authorised personnel. Access requests are handled in accordance with GDPR and CUC’s data protection procedures.
18. CCTV
CCTV may operate in reception, corridors, entrances, exits, external areas and other non-private areas for safety, security, incident investigation and protection of staff, patients, visitors and property.
CCTV is not used in toilets, changing areas or treatment rooms where patients may be undressed.
Footage is retained only as long as necessary, usually no longer than 30 days unless required for investigation, complaint, incident, legal, regulatory or insurance purposes.
Requests for access to CCTV are handled in accordance with GDPR, third-party privacy rights and lawful disclosure requirements.
19. Privacy, GDPR and Medical Records
CUC processes personal data and health data for healthcare provision, administration, billing, referrals, laboratory testing, clinical safety, legal compliance, insurance/indemnity, complaints, audit and regulatory purposes.
Patients have rights under GDPR, including access to personal data, rectification of inaccurate data, restriction, objection, portability and withdrawal of consent where applicable.
Medical record access requests / Subject Access Requests should be made to:
CUC may require proof of identity and authority before releasing records. Records are released securely and may be redacted where necessary to protect third-party rights, legal privilege, confidential information or restricted material.
CUC aims to respond to valid requests within the timeframe required by GDPR.
20. Clinical Photography and Images
Clinical photographs, dermoscopic images or treatment images may be taken for medical documentation, monitoring, referral, treatment planning, audit, teaching or medico-legal purposes, subject to appropriate consent and data protection requirements.
Images form part of the medical record where used clinically.
Images will not be used for marketing, website, social media or promotional purposes without separate explicit consent.
Patients must not photograph or record other patients, staff, visitors, clinical areas or confidential information without permission.
21. Complaints and Feedback
CUC welcomes feedback and complaints.
Complaints should be submitted in writing to:
CUC will acknowledge and review complaints in accordance with its complaints process. We may need to access clinical records, speak to staff, review CCTV/call recordings where lawful, and seek advice from professional indemnity, legal or regulatory bodies.
Abusive or threatening complaint communications will not be tolerated, but this does not affect a patient’s right to raise a genuine concern.
22. Private Health Insurance and Third-Party Reimbursement
CUC is an independent private provider and does not guarantee that any service will be reimbursed by private health insurance, employers or third parties.
Patients are responsible for checking cover, eligibility, claim requirements and reimbursement rules with their insurer or third party before attending.
CUC does not accept responsibility for insurer refusal, partial reimbursement, delayed reimbursement or policy exclusions.
23. Administrative Reports, Letters and Documentation
Medical certificates, employer letters, occupational health documents, insurance forms, medico-legal reports, summaries, referrals, clarifications and other documents may attract additional professional or administrative fees.
CUC may decline to issue documentation that is inaccurate, misleading, outside clinical knowledge, outside scope, retrospective without basis, or contrary to professional obligations.
Documents are issued for the stated purpose only and must not be altered, selectively edited or misused.
24. Occupational Health and Employer Requests
Where occupational health or employer-related documentation is requested, CUC will only communicate with an employer or third party with appropriate patient consent, unless disclosure is required by law or justified under professional duties.
CUC maintains clinical independence. Employers, insurers, solicitors, family members or third parties cannot dictate clinical findings, certificates, diagnoses, treatment plans or professional opinions.
25. Website, Online Booking and Digital Systems
CUC website content is provided for general information only and does not replace clinical assessment.
Online booking availability does not guarantee clinical suitability for treatment.
CUC is not responsible for temporary website downtime, booking platform errors, third-party software issues, payment processor outages or external communication failures.
All website content, documents, branding, policies and materials are the intellectual property of CUC unless otherwise stated. Copying or reuse requires written permission.
26. Limitation of Liability
Nothing in these Terms & Conditions excludes or limits any liability that cannot lawfully be excluded or limited under Irish law, including liability for death or personal injury caused by negligence, fraud, or any statutory rights that apply to patients or consumers.
27. Independent Contractors, Tenants and Third Parties
Some services, practitioners or businesses operating from the same premises may be independent from CUC.
Unless CUC expressly confirms in writing that a service is provided by CUC, each independent practitioner, tenant or contractor is responsible for their own clinical care, professional indemnity, governance, consent, records, fees, outcomes, complaints and regulatory obligations.
CUC’s name, address, reception support, shared premises or booking convenience does not automatically make CUC clinically responsible for independent providers.
28. Force Majeure and Clinic Disruption
CUC may cancel, defer or reschedule appointments due to illness, emergency, staff absence, weather, power failure, equipment failure, supply shortage, IT outage, public health concern, safety issue, animal welfare issue, or any event outside reasonable control.
Where CUC cancels an appointment before care is delivered, the patient may be offered rescheduling or refund of applicable deposit, depending on the circumstances.
29. Governing Law and Jurisdiction
These Terms & Conditions are governed by Irish law.
The Irish courts have jurisdiction unless another jurisdiction is required by mandatory applicable law.
If any part of these Terms is found to be invalid or unenforceable, the remaining sections remain in effect.
30. Patient Summary
By booking, attending or entering the premises, you agree that:
CUC is a private clinic and not an emergency department.
Appointments may require deposits or pre-payment.
Late cancellations and no-shows may be charged.
Clinical outcomes cannot be guaranteed.
You must follow aftercare advice and seek urgent help where required.
Independent physiotherapy providers are clinically independent from CUC.
Parking and vehicles are at the owner’s risk.
A rescue dog may be present on site; inform us in advance of allergies, fear or concerns.
Abuse, threats or disruptive behaviour will not be tolerated.
Your data is handled in accordance with GDPR and medical confidentiality obligations.
Patients retain all statutory rights.
31: Clinic Dog Notice
Please note that a clinic dog may be present in reception/common areas of CUC Medical & Aesthetics.
The clinic dog is not permitted in clinical treatment rooms, procedure rooms, blood-taking areas, clean clinical areas, medication areas, or any area where procedures or examinations are being carried out.
If you have a dog allergy, asthma, phobia, cultural/religious concern, hygiene concern, or would prefer not to be near the clinic dog, please inform us before or on arrival. We will make reasonable arrangements where possible.
Patients and visitors are not required to interact with the clinic dog. Children must not approach, chase, feed, lift, or play with the dog unless permitted and supervised.
CUC Medical & Aesthetics maintains cleaning and hand hygiene procedures. Staff must perform hand hygiene after contact with the clinic dog and before any clinical activity.
The clinic dog remains under the control of CUC Medical & Aesthetics. If at any time it is not appropriate for the dog to remain in reception/common areas, the dog will be removed from that area.
